This page explains how MEDvidi uses AI in different contexts. We keep patient-friendly summaries separate from full legal notices so you can quickly see what the tool does, what it doesn’t do, and how your information is handled.

We use an SMS-based assistant that helps answer questions about your visits and handles simple administrative tasks (like scheduling, reminders, and updates). It is designed to improve support quality and reduce your wait time for responses.

Introduction

This AI Chatbot Disclosure and Notice (“Notice”) is provided to inform users about the collection, use, processing, and disclosure of personal information when interacting with our AI chatbot service. This Notice is designed to comply with all applicable federal laws and regulations, including the Health Insurance Portability and Accountability Act of 1996 (HIPAA), data privacy, security, and consumer protection laws.

Nature of Service

The AI chatbot is an automated conversational interface that uses artificial intelligence technology to interact with users, respond to inquiries, and provide information or services. Users should be aware that they are communicating with an automated system and not a human representative.

Information Collection and Use

Categories of Information Collected

When interacting with our AI chatbot, we may collect and process the following categories of personal information, including Protected Health Information (PHI) as defined under HIPAA:

  • Identifiers (name, email address, IP address, unique personal identifier)
  • Communication content (messages, inquiries, responses)
  • Internet or electronic network activity information (browsing history, interaction data)
  • Geolocation data (as permitted by law and with appropriate consent)
  • Health-related information provided by the user
  • Inferences drawn from the above information to create a profile reflecting preferences and characteristics

Purpose of Collection and Use

We collect and use personal information, including PHI, for the following purposes:

  • Providing the requested services and responding to user inquiries
  • Improving and maintaining the quality and safety of our AI chatbot
  • Debugging to identify and repair errors that impair functionality
  • Preventing, detecting, and investigating security incidents
  • Protecting against fraudulent or illegal activities
  • Ensuring the physical safety of users where applicable
  • Conducting internal research and technological development
  • Complying with legal and regulatory obligations, including HIPAA requirements

Disclosure of Information

We may disclose personal information, including PHI, to the following categories of third parties in compliance with HIPAA and other applicable laws:

  • Service providers who help deliver our AI chatbot services and are bound by Business Associate Agreements (BAAs) as required under HIPAA
  • Third parties that assist with operating our business, provided they comply with HIPAA requirements
  • Legal and regulatory authorities when required by law
  • Affiliated companies within our corporate group, subject to HIPAA compliance

Sensitive Personal Information and PHI

Limited Use of Sensitive Personal Information and PHI

We limit the use and disclosure of sensitive personal information and PHI to purposes necessary to provide the AI chatbot services you have requested. We do not use or disclose sensitive personal information or PHI for the purpose of inferring characteristics about you unless explicitly permitted by law or with your express consent.

Right to Limit Use

You have the right to limit the use and disclosure of your sensitive personal information and PHI. To exercise this right, please follow the instructions in Section 7 of this Notice.

Data Security

We implement and maintain appropriate technical, administrative, and organizational security measures to protect your personal information and PHI from accidental or unauthorized destruction, loss, alteration, disclosure, or access. These measures are regularly reviewed and updated to ensure a level of security appropriate to the risk and in compliance with HIPAA’s Security Rule.

Access and Control

You have the right to:

  • Access the personal information and PHI we collect about you
  • Request deletion of your personal information and PHI, subject to HIPAA’s retention requirements
  • Correct inaccurate personal information and PHI
  • Limit the use and disclosure of your sensitive personal information and PHI
  • Opt-out of the sale or sharing of your personal information, if applicable

Changes to This Notice

We may update this Notice periodically to reflect changes in our practices or legal requirements. We will notify you of any material changes by posting the updated Notice on our website or through the AI chatbot interface.
