Provider Relations Specialist (Onboarding)

We provide online ADHD treatment as well as anxiety, depression, stress, OCD, and insomnia treatment. Going to the specialist’s facility for treatment can be difficult and time-consuming for both patients and their loved ones. About the Position:
The Provider Relations Specialist is responsible for leading and managing the end-to-end onboarding process for healthcare providers, ensuring a seamless, efficient, and supportive experience. This role owns the operational workflow, communications, and cross-functional coordination required to successfully integrate providers into the organization.
Requirements
- Experience as a Provider Relation Specialist minimum of 3 years preferred (cross specialty and a minimum of 15 providers), provider onboarding experience minimum of 2 years.
- Bachelor’s degree in healthcare administration or related field - preferred.
- Experience working within healthcare operations.
- Previous experience in telemedicine or working remotely.
- Project management experience, preferred.
- Excellent analytical and problem-solving skills.
- Excellent communication, interpersonal, & organizational skills.
- Possesses a strong ethical and professional code of conduct.
- Multitasker and ability to prioritize, adapting to changing needs and situations.
- Proficient with technology and quick to learn new systems.
- Experience in mental health a plus.
Responsibilities
1. Own the Onboarding Experience:
- Serve as the primary point of contact for newly contracted providers.
- Ensure each provider receives a consistent, positive, and organized onboarding journey.
- Act as an advocate for the provider experience by anticipating needs and eliminating friction points.
2. Coordinate Cross-Functional Onboarding Tasks:
- Partner with HR, Product, clinical leadership, support, marketing, and operations to manage onboarding milestones.
- Maintain detailed onboarding checklists and timelines for each provider.
- Communicate stages for planning.
- Match new providers with colleague mentor.
3. SOP Support:
- Ensure new providers are adhering to established SOPs.
- Coordinate training, as needed, with Medical Director.
4. Training & Technology Setup:
- Provide and be SME to CRM/EHR for training & troubleshooting for new providers
- Coordinate system logins, telehealth platform access, and any digital toolkits.
- Schedule and deliver orientation sessions
- Develop resources for providers to utilize within LMS.
- Ensure providers are comfortable and confident using all tech systems before their first patient encounter.
5. Communication & Reporting:
- Keep providers regularly informed of onboarding progress, next steps, and timelines.
- Provide updates to internal stakeholders and escalate issues when delays or risks are identified.
- Track KPIs, provide feedback to providers and education to achieve targets.
6. Continuous Improvement:
- Gather feedback from providers post-onboarding and identify areas for improvement.
- Recommend and implement process enhancements to improve speed, clarity, or satisfaction.
- Provide ongoing support to new providers, as needed.
- Maintain up-to-date SOPs and onboarding materials.
